PDF Password

This guide explains how to set and manage the password protection for PDF documents generated through the bankVOD system. This security feature ensures that verification documents remain confidential and are only accessible to authorized recipients.

Accessing PDF Password Settings


From the Control Panel, click PDF Password under the Manage Account section. This will display the Settings page where you can configure your PDF password.


Setting Your PDF Password


The PDF password will be applied to all verification documents your institution generates through bankVOD.

Enter Your Password
  1. In the PDF Password field, enter your desired password
  2. Create a strong password that includes:
    • Uppercase and lowercase letters
    • Numbers
    • Special characters (e.g., !, @, #, $)
Save Your Password

Click the Set Password button to save your PDF password configuration. This password will now be applied to all future PDF documents generated by your institution.

Important: Make sure to securely store and share this password with authorized staff who need to access verification documents.


Testing Your PDF Password


After setting your password, verify that it works correctly:

  1. Click the Test PDF link below the Set Password button
  2. A test PDF document will be generated and downloaded to your computer
  3. The file will be named EncryptedPDF.pdf and will display a lock icon indicating it is password-protected
Opening the Encrypted PDF

When you attempt to open the test PDF:

  1. Your PDF reader will display a lock icon and the message: "This document is password protected"
  2. You will be prompted to "Please enter the password below"
  3. Enter the password you set
  4. If the password is correct, the document will open
  5. If the password is incorrect, you will see "Invalid Password" and will need to try again


Password Best Practices


To maintain document security:

  • Create a strong password that is difficult to guess but easy for your team to remember
  • Change passwords regularly for enhanced security
  • Share passwords securely through approved channels (not via email)
  • Document the password in your institution's secure password management system
  • Train staff on proper password handling and document security protocols


Updating Your PDF Password


To change your existing PDF password:

  1. Navigate back to the PDF Password settings page
  2. Enter a new password in the PDF Password field
  3. Click Set Password to update
  4. Click Test PDF to verify the new password works correctly

Note: Changing the password will only affect newly generated PDF documents. Previously generated documents will still use the old password.


Troubleshooting


Password Not Working

If recipients report they cannot open PDF documents with the provided password:

  1. Verify you are providing the current password (check the Settings page)
  2. Ensure there are no extra spaces before or after the password
  3. Confirm the password is case-sensitive and entered exactly as configured
  4. Generate a new test PDF to verify the password is working correctly
Forgotten Password

If you have forgotten your PDF password:

  1. Set a new password following the steps above
  2. Test the new password using the Test PDF feature
  3. Communicate the updated password to your team and relevant parties
