Review Responses

This guide explains how to review completed verification responses in the bankVOD system. Use the Review Orders page to audit completed requests, track response history, and ensure quality control.

Accessing the Review Responses Page


From the Control Panel, click Review Responses under the Manage Orders section. This will display the Review Orders page with filters and a list of completed responses.


Understanding the Review Filters


The Filters section at the top of the page allows you to search for specific completed responses using various criteria.


Date Filters

Date Field:

  • Enter a specific date or date range to search for responses
  • Click the calendar icon to select dates visually
  • Check "search completed date" to search by the date responses were completed (recommended for reviewing recent work)

Account and Customer Filters

Account: Enter a specific account number to find responses for that account

BSI #: Search by the unique bankVOD order identifier (format: BSI##########)

Customer: Enter customer name to find responses for a specific client

Tracking: Search using external tracking numbers if applicable


Program and Department Filters

Program: Select from available verification programs to review:

  • Business Inquiry
  • Commercial Account Audit
  • HUD
  • Medicaid/Medicare
  • QC/Re-Verification
  • Verification of Deposit

Departments: Filter by specific departments within your institution:

  • Click the dropdown to see available departments
  • Check/uncheck departments as needed
  • "All items checked" indicates all departments are selected
  • Individual departments shown (Demo Bank, Demo Equipment Finance, Demo Government Finance)

Status and Delivery Filters

Status: Filter responses by their delivery status:

  • Completed – Response successfully delivered
  • Faxing – Response currently being faxed
  • In Queue – Response queued for delivery
  • Error – Delivery encountered an error

Delivery: Filter by delivery method used:

  • Fax – Responses sent via fax
  • Email – Responses sent via email

Reports Filter

Reports: Select the type of report you want to review:

  • Tracking – View tracking information for responses
  • Aging – View aging reports to identify older responses

Additional Filters

Pages: Enter minimum and maximum page counts to filter responses by document size

Attempts: Filter by number of delivery attempts (Min - Max) – useful for identifying responses that had delivery issues

Assigned: Select a specific user to review their completed responses:

  • Displays all users in your institution
  • Useful for supervisors conducting quality control reviews
  • Examples shown: Courtney Feinstein, Dario Saal, Dave Malone, David Savage, Ed Dean, Emily Fickes, Kelli Hanson, Rachel Minor, Solstice Yeager

Req.Type: Filter by request type:

  • Commercial – Commercial verification responses
  • Consumer – Consumer verification responses

Quick Filter Checkboxes

Select these checkboxes to quickly filter response types:

  • Deleted/Reject – Show deleted or rejected responses
  • Paid – Show responses for paid verification requests
  • Open Orders – Show responses for orders still open (typically not applicable in Review)
  • Closed Orders – Show responses for closed/completed orders (recommended filter)
  • Action Required – Show responses that may need follow-up

Applying Filters

After setting your desired filters, click the Refresh button to update the results table with matching responses.


Understanding the Review Results Table


The results table displays the following information for each completed response:

  • Checkbox – Select responses for batch actions or reporting
  • Acct# – Customer account number from the response
  • Verification Program – Type of verification that was completed
  • Order Date – Date the original order was received
  • Completed Date – Date the response was completed and submitted
  • Client Name – Name of the client who requested the verification
  • # of Accts – Number of accounts included in the response
  • BSI # – Unique bankVOD order identifier


Reviewing Response Details


Viewing a Completed Response
  1. Locate the response in the results table
  2. Click on the BSI # or the order row to open the response details
  3. The response detail page will display showing:
    • Original request information
    • Completed response data
    • Account information provided
    • Customer information confirmed
    • Any comments included with the response
    • Electronic Authorization Log
    • Delivery confirmation details

Downloading Response Documents

From the response detail page, you can download:

  • Download Response – The completed verification response document (password-protected PDF)
  • Cover – Cover sheet with order details
  • Receipt – Delivery receipt showing when and how the response was sent

Reviewing Response Quality

When conducting quality control reviews, check for:

  • Accuracy – All account information matches bank records
  • Completeness – All required fields are filled in
  • Timeliness – Response was completed within expected timeframes
  • Proper formatting – Response document is professional and clearly formatted
  • Customer information – Account owner names and ownership types are correct
  • Comments – Any necessary explanatory comments are included


Using Review Data for Reporting


Exporting Response Data

To download response information for reporting or analysis:

  1. Set your desired filters to narrow down the responses you want to export
  2. Click Refresh to display matching responses
  3. Click Download Excel in the upper right corner
  4. An Excel file will be generated containing all visible response data including:
    • Account numbers
    • Verification programs
    • Order and completion dates
    • Client names
    • BSI numbers
    • Response status and delivery information

Generating Reports

Use the Reports dropdown to access specific report types:

Tracking Report:

  • Shows delivery tracking information
  • Helps identify responses that were successfully delivered
  • Useful for confirming delivery to clients

Aging Report:

  • Displays how long responses have been in the system
  • Helps identify responses that may need follow-up
  • Useful for workload management and SLA compliance


Common Review Tasks


Auditing User Performance
  1. Select a specific user from the Assigned dropdown
  2. Set a date range for the review period
  3. Click Refresh to see all responses completed by that user
  4. Review response quality and timeliness
  5. Export data for performance reporting

Identifying Delivery Issues
  1. Select Error from the Status dropdown
  2. Set the date range for recent responses
  3. Click Refresh to display responses with delivery errors
  4. Review each error and determine corrective action
  5. Re-submit responses if necessary

Monitoring Response Volume
  1. Set the desired date range
  2. Select appropriate filters (department, program type, etc.)
  3. Click Refresh to display results
  4. Review the pagination indicator (e.g., "0 items in 1 pages") to see total count
  5. Export data to analyze response volume trends


Pagination Controls


At the bottom of the Review Orders table:

  • Use the page navigation buttons (first, previous, page number, next, last) to move between pages when multiple records exist
  • Adjust the Page size dropdown to change how many responses display per page (default is 15)
  • The total count shows how many responses match your filters (e.g., "0 items in 1 pages")
