Search Orders

This guide explains how to search for and manage verification orders in the bankVOD system. Use the Search Orders page to find specific requests, review their status, and complete responses.

Accessing the Search Orders Page


From the Control Panel, click Search Orders under the Manage Orders section. This will display the Search Orders page with filters and a list of all orders.


Understanding the Search Filters


The Filters section at the top of the page allows you to narrow down your search results using various criteria.


Date Filters

Date Field:

  • Enter a specific date or date range to search for orders
  • Click the calendar icon to select dates visually
  • Check "search completed date" to search by completion date instead of order date

Account and Customer Filters

Account: Enter a specific account number to find related orders

BSI #: Search by the unique bankVOD order identifier (format: BSI##########)

Customer: Enter customer name to find orders for a specific client

Tracking: Search using external tracking numbers if applicable


Program and Department Filters

Program: Select from available verification programs:

  • Business Inquiry
  • Commercial Account Audit
  • HUD
  • Medicaid/Medicare
  • QC/Re-Verification
  • Verification of Deposit

Departments: Filter by specific departments within your institution:

  • Click the dropdown to see available departments
  • Check/uncheck departments as needed
  • "All items checked" indicates all departments are selected

Status and Delivery Filters

Status: Filter orders by their current status:

  • Completed
  • Faxing
  • In Queue
  • Error
  • (Other statuses as applicable)

Delivery: Filter by delivery method:

  • Fax
  • Email

Additional Filters

Pages: Enter minimum and maximum page counts to filter by document size

Attempts: Filter by number of delivery attempts (Min - Max)

Assigned: Select a specific user to view their assigned orders:

  • Shows all users in your institution
  • Useful for supervisors managing workload distribution

Reports: Select specific report types if applicable

Req.Type: Filter by request type:

  • Commercial
  • Consumer

Quick Filter Checkboxes

Select these checkboxes to quickly filter order types:

  • Deleted/Reject – Show deleted or rejected orders
  • Paid – Show paid verification requests
  • Open Orders – Show orders awaiting completion
  • Closed Orders – Show completed orders
  • Action Required – Show orders requiring additional action

Applying Filters

After setting your desired filters, click the Refresh button to update the search results.


Understanding the Order Results Table


The results table displays the following information for each order:

  • Checkbox – Select orders for batch actions
  • Acct# – Customer account number
  • Verification Program – Type of verification requested (with Asset/Debt indicator)
  • Order Date – Date the order was received
  • Completed Date – Date the order was completed (if applicable)
  • Client Name – Name of the requesting client
  • # of Accts – Number of accounts in the verification request
  • BSI # – Unique bankVOD order identifier

Order Status Indicators

Orders display different status icons:

  • ✓ Response – Order has been completed and response sent
  • ✏ Complete – Order is ready to be completed
  • 🗂 [User Name] – Order is assigned to a specific user
  • ACTION REQ – Order requires additional action
  • REJECT – Order has been rejected
  • MANUAL – Order requires manual processing

Hovering Over Order Numbers

Hover your mouse over an order number (BSI #) to see a quick summary:

  • Order number
  • Date and time
  • Number of pages
  • Download status


Working with Orders


Opening an Order
  1. Locate the order in the results table
  2. Click on the BSI # or the order row to open the order details
  3. The order detail page will display with all request information

Downloading Request Documents

Each verification order includes downloadable documents that you can access by clicking Download Request in Step 1:

Confirmation Request Form – Contains:

  • Bank information (your institution's name and address)
  • Requestor information (company requesting the verification)
  • Customer information (account holder details)
  • Engagement number for tracking
  • Account details to verify (account type, masked account number, date of balance)
  • Department/Form assignment
  • Comments section

Electronic Authorization Log – Provides an audit trail including:

  • Client signature and authorization details
  • Date, time, and IP address of signature
  • Section 1: Client information (company, contact, email, job title)
  • Section 2: Requestor information (company, address, contact details)
  • Section 3: Activity log showing:
    • Requested Client Authorization
    • Client Signature Submitted
    • Order Placed at bankVOD
    • Processing status
    • Completion details

Order Confirmation – Summary document containing:

  • bankVOD order number
  • Verification program and cost
  • Estimated completion date
  • Company and contact information
  • Borrower/account holder name
  • Date of request
  • Tracking number
  • Electronic privacy notice

These documents provide all the information needed to complete the verification request accurately.


Completing an Order
  1. Click the ✏ Complete icon next to the order you want to process
  2. Follow the steps in the order completion workflow:
    • Step 1. Review Request – Download and review the verification request documents (Confirmation Request Form, Electronic Authorization Log, Order Confirmation)
    • Step 2. Select Option – Choose Complete Request, Action Required, or Reject Request
    • Step 3. Complete Request – Fill in all required information
    • Step 4. Preview and Save Response – Review and submit your response

Completing the Response Form:

When you select "Complete Request," you'll need to provide:

Customer Address Information:

  • Customer Address
  • Customer City
  • Customer State
  • Customer Zipcode

Account Information:

  • Account Number (partial mask will auto-populate)
  • Account Type (select from dropdown: Checking, Savings, Money Market, CD, IRA, Smart Access Prepaid Debit Card)
  • Effective Date
  • Open Date
  • Matches Bank Balance (Yes/No radio buttons)

Customer Information:

  • Account Owners Name (multiple rows available for joint accounts)
  • Ownership Type (select from dropdown: Primary Individual, Primary Joint, Secondary Joint, Minor Account, Trust Account, Estate Account)

Additional Options:

  • Account Closed checkbox
  • Reject checkbox
  • Add Bank Account button (to add multiple accounts to the response)
  • Comments for the response field

Attachments:

  • Add Attachment button to include supporting documentation

After completing all fields, click Preview & Save to review your response before final submission.


Downloading Completed Responses

Once an order is completed, you can download the response document which includes:

Confirmation Response Document – Contains:

  • bankVOD order number and confirmation heading
  • Requestor information (company name and address)
  • Demo Bank Account Holder name
  • Account details in a formatted table (Account Number, Account Type, Open Date, As of Date, Currency)
  • Account Information section with fields for loan details:
    • Unpaid Principal Amount, Original Amount
    • Date of Note, Maturity Date
    • Interest Rate, Rate Type
    • Accrued Interest, Paid Interest for the Period
    • Interest Paid Through, Paid Principal for the Period
    • Terms of Payment of Principal, Final Balloon Payment
    • Any Other Direct or Contingent Liabilities
    • Description of Collateral
    • Guarantor
    • Loan Covenants
    • Other Terms or Amendments
  • Completed by information (name, institution, address)
  • Digital signature
  • Date of completion
  • Confidentiality notice and contact information

This document is password-protected using your institution's PDF password and can be downloaded by clicking Download Response on a completed order.


Viewing Order Details from Search Results

Click the information icon (ⓘ) next to any order to see a quick popup with:

  • Current program assignment
  • Department assignment
  • Fax number
  • View options (Cover, Receipt, Response)
  • Send status

Changing Program or Department

From the order detail popup:

  1. Click Change Program to reassign the order to a different verification program
  2. Select the new program from the dropdown
  3. Click Change Department to reassign to a different department
  4. Select from available departments and their corresponding forms

Re-Opening a Closed Order

If you need to modify a completed order:

  1. Open the order detail popup
  2. Click Re-Open Order at the top
  3. Make necessary changes
  4. Re-submit the response


Exporting Order Data


To download order information for reporting or analysis:

  1. Set your desired filters
  2. Click Refresh to display matching orders
  3. Click Download Excel in the upper right corner
  4. An Excel file will be generated with all visible order data


Assigning Orders


If you have supervisor permissions, you can assign orders to team members:

  1. Check the boxes next to orders you want to assign
  2. Use the Assign Orders function
  3. Select the user from the assignment dropdown
  4. Confirm the assignment
